We are now building a scalable automation platform and library of reusable AI workflows. This role is a foundational hire in that journey.
About the Role
We are looking for a Senior Ai Workflow Developer & Automation Specialist who can architect, build, and deploy automation workflows that combine no-code platforms with custom scripted logic and API integrations.
This is not a “Zapier operator” role. You will design automation systems end-to-end, implement hybrid no-code + coded solutions, contribute to internal IP and reusable modules, and work directly with clients during onboarding.
You’ll own automation blueprints, build backend logic where needed, ensure quality and reliability, and help shape the future automation product roadmap.

What You’ll Build & Own
- End-to-end workflow automations for voice, chat, CRM, data sync, task routing, and trigger-based logic
- Hybrid automation systems using no-code platforms + custom code where needed
- Internal automation library: reusable modules, scripts, templates, documentation
- API bridges between AI tools, SaaS platforms, CRMs, calendars, phone systems, etc.
- Deployment-ready “workflow packs” that can be cloned and adapted across client accounts
- Quality, uptime, versioning, and troubleshooting processes for live automations
- Developer handoff docs, internal SOPs, and future hiring frameworks
Core Responsibilities
Automation Architecture & Build
- Design and deploy automation workflows using Make.com, N8N, Zapier, GoHighLevel, Vapi, Retell, webhooks, and similar platforms
- Build reusable “blueprint” automations for scalable deployment across multiple clients
- Translate business logic into technical architecture (flow diagrams, logic maps, data models)
Custom Coding & API Development
- Write & maintain custom functions in JavaScript, Python, or Node.js when workflows require logic beyond no-code tools
- Integrate with external APIs (REST, GraphQL, JSON, OAuth, webhooks)
- Build small serverless functions (AWS Lambda, Cloudflare Workers, etc.)
- Assist with database updates, data validation, and record syncing (PostgreSQL, MongoDB, Firebase, Supabase)
Client-Facing Implementation
- Lead technical onboarding for new clients (setup, configuration, testing, deployment)
- Participate in solution design calls with clients and internal teams (not a support role, but consultative)
- Troubleshoot live automation issues, debug failed steps, and implement permanent fixes
- Document workflows and handover instructions for internal and client teams
Productization & Internal Ownership
- Convert one-off workflows into scalable, reusable automation templates
- Perform code reviews, enforce automation quality standards, and propose naming/structure conventions
- Contribute to roadmap for internal automation platform / workflow library
- Mentor junior automation hires in future growth phase
Required Skills & Experience
- 5+ years of hands-on experience in workflow automation, integration engineering, or automation-focused dev work
- Expertise in Make.com, N8N, or Zapier (advanced level)
- Ability to write custom code for automation logic (JavaScript and/or Python required)
- Experience working with REST APIs, authentication, webhooks, and JSON formatting
- Able to debug async workflow failures, API errors, rate limits, and edge cases
- Strong understanding of systems thinking, data flow, and architectural scaling
- Able to gather requirements, scope solutions, and explain technical concepts clearly
- Experience working in SaaS, tech, or automation-first environments
Nice to Have (Bonus Skills)
- Experience with voice AI platforms (Vapi, Retell, GHL Voice Agent, Twilio, etc.)
- Experience deploying serverless functions (AWS Lambda, Cloudflare Workers, Netlify Functions)
- Familiar with event-based systems, queues, CRON logic, multi-step async workflows
- Working knowledge of front-end basics (React, Next.js)
- Experience with AI tools (OpenAI, Whisper, ElevenLabs, etc.)
- Experience integrating with CRMs, EHRs, booking systems, or payment gateways

We are seeking a versatile, highly organized Client Success & AI Enablement Coordinator to support day-to-day operations, client onboarding, workflow coordination, light automation tasks, and cross-functional communication. The ideal candidate has excellent communication skills, a strong analytical mindset with a technical bent, and familiarity with modern AI tools and no-code/low-code automation.
You will coordinate client and internal deliverables, ensure deadlines are met, represent the company at industry events, and surface solution-based opportunities from client pain points to the sales team. This role offers a clear growth path toward Operations Manager and Head of Operations as the company scales.
Key Responsibilities
Client & Team Coordination
- Coordinate client onboarding (intake, documentation, timelines) and keep deliverables on schedule.
- Track tasks, dependencies, and accountability using ClickUp (or similar); issue weekly status summaries.
- Bridge communications across leadership, clients, subcontractors, and technical teams; ensure clean hand-offs.
AI Tools & Automation Support
- Use AI tools for documentation, content generation, and workflow support.
- Build or maintain basic automations in tools such as Zapier, Make, n8n, GoHighLevel workflows, VAPI, Retell (training provided).
- Identify process bottlenecks and propose automation or SOP improvements.
Marketing & Outreach Assistance
- Execute outbound email sequences and coordinate basic digital marketing tasks with vendors/freelancers.
- Monitor lead hand-offs to sales; maintain outreach logs and campaign performance trackers.
Customer Success & Solution Awareness
- Provide structured client updates, track satisfaction, and escalate issues promptly.
- Identify new and existing pain points and relay solution-based opportunities to the sales team (not a sales closer).
- Support long-term retention through proactive follow-ups and readiness checks pre/post go-live.
Networking & Events
- Actively participate in company networking events and represent the company at trade shows and industry meetups.
- Prepare event briefs, capture leads/opportunities, and coordinate follow-ups.

What You’ll Do

Who You Are

- You have 3 or more years of experience in tech/SaaS sales, and you’re comfortable selling intelligent solutions rather than just products. Sales of automation, SaaS workflows, or Ai-enabled tools is a strong plus.
- You are comfortable with technology and fast to learn - you use and understand sales tools, CRM systems, email/LinkedIn outreach platforms, and you’re curious about—and quick with—Ai tools and automation-enhanced workflows.
- You are solution-oriented: you ask the right questions, discover the client’s core challenges, and position our AI automation as the strategic solution — not just a software sale.
- You thrive in a remote, fast-paced environment, manage multiple tasks without losing focus, and keep a high standard of organization and follow-through.
Required Skills & Experience
- Proven track-record in outbound sales or business development: identifying prospects, making outreach, and closing deals.

About the Role
We are seeking an experienced and detail-oriented Senior Bookkeeper to manage day-to-day accounting and financial operations, including full-cycle bookkeeping, accounts receivable/payable, bank reconciliations, and tax documentation for US entities.
The ideal candidate has a strong grasp of US accounting principles, experience with Xero (and optionally QuickBooks), and a working knowledge of 1099/W-2 preparation, payroll coordination, and compliance filings with both the IRS and state agencies. This position will play a vital role in ensuring financial accuracy, compliance, and timely reporting for management.
Key Responsibilities
General Accounting & Bookkeeping
- Maintain accurate and up-to-date general ledgers in Xero and related systems.
- Perform monthly bank and credit card reconciliations.
- Manage journal entries, adjustments, and accruals to ensure accurate financial statements.
- Prepare trial balances, P&L statements, balance sheets, and cash-flow reports.
- Handle multi-currency transactions and reconciliations when applicable.
Accounts Payable (A/P)
- Review, code, and process vendor bills in Xero.
- Manage approval workflows and ensure payments are made within terms.
- Maintain vendor records and W-9 forms; reconcile vendor accounts monthly.
- Communicate with vendors to resolve billing discrepancies or payment issues.
Accounts Receivable (A/R)
- Issue invoices and credit memos; record payments accurately.
- Track outstanding balances and follow up with clients for overdue invoices.
- Generate A/R aging reports and flag risks of late or doubtful accounts.
- Coordinate with the sales team to ensure invoicing accuracy and timely collections.
Payroll & Compliance
- Process payroll or coordinate with third-party payroll providers.
- Manage employee and contractor classifications (W-2 vs 1099) and maintain proper records.
- File or assist with quarterly and annual payroll reports (Form 941, 940, W-2, W-3, 1099-NEC, etc.).
- Ensure adherence to federal and state payroll tax regulations.
Tax & Reporting
- Prepare and organize financial data for CPA review and annual tax filings.
- Assist with 1099/W-9 management for contractors and T4A/CRA filings for Canadian entities (if applicable).
- Maintain compliance with IRS documentation and audit-ready records.
- Support year-end closing and assist external accountants with reconciliations.
Client & Vendor Coordination
- Serve as the financial liaison for clients and vendors—ensuring clarity in payments, billing, and collections.
- Respond promptly to inquiries and provide excellent customer service.
- Coordinate with management and external accountants on month-end and year-end deliverables.
Required Skills & Experience
- Minimum 5 years of professional bookkeeping experience, preferably with small to mid-sized businesses in the US.
- Strong proficiency in Xero; working knowledge of QuickBooks Online or Wave is an advantage.
- Solid understanding of GAAP, US 1099/W-2 requirements, and payroll reporting.
- Familiarity with sales tax, state compliance, and multi-entity bookkeeping.
- Exceptional attention to detail and high accuracy in financial data entry.
- Strong organizational, analytical, and time-management skills.
- Excellent communication skills and ability to collaborate with internal teams, vendors, and external accountants.
