Distribution

Thousands of SKUs, hundreds of customers. One inside-sales team.

Distribution margins live in the details: the right price tier, the right unit of measure, the reorder that should have happened last week. Agents handle the volume so your team can handle the relationships.

Where the hours go

None of it is hard. All of it is constant — and it is done by the people you would rather have talking to customers and suppliers.

Order entry volume

Emailed and faxed-to-PDF orders with customer part numbers and mixed units of measure.

Pricing complexity

Contract tiers, price breaks, rebates and special pricing agreements that live in people’s heads.

Quiet customers

Accounts drift to a competitor one line at a time, and you notice a quarter later.

Vendor follow-up

Chasing PO confirmations and ETAs by email, line by line.

AR and deductions

Short-pays and remittances with no invoice numbers.

Agents that fit.

Each one does a single job inside the systems you already run, stops and asks a person for anything outside your rules, and is measured from the first week.

A day in the life

The account that went quiet

A contractor who’s ordered every five weeks for three years hasn’t ordered in nine. The Reactivation Agent flags it, sees no complaints or credit issues, and drafts a check-in from their rep with the usual order ready to confirm. The reply says they’ve been buying one product elsewhere because of lead time. Now your rep knows — while the account is still yours.

Every agent starts in shadow mode.

For the first stretch it watches the work and drafts what it would do, while your team keeps doing the job. You compare its drafts to what your people actually did.

It only starts acting when you say so — and only on the kinds of work it has proven it gets right. Anything above a limit you set (a dollar amount, a new customer, a price change) still comes to a person.

Works with NetSuite, Acumatica, Sage, Odoo, QuickBooks and Zoho, EDI through your provider, and your WMS.

Questions & Answers

Distribution: common questions

Your contract tiers, price breaks, rebates and special pricing agreements are written down with you during the build and enforced in code, not left to the model to guess. Anything below the margin floor you set goes to a person.

Yes. Mapping customer part numbers and units of measure to your item master is part of the build, and the agent checks what it read against your item master before it creates anything.

Yes, through the provider or VAN you already use — X12 850, 855, 856 and 810. Agents also handle the orders that never arrive as EDI: email attachments, portal downloads and scans.

It learns each account’s ordering rhythm from your own sales history, then flags the accounts that have drifted past it. It checks for complaints and credit issues first, so a rep gets context rather than a list.

The agent matches on amounts, dates and customer history and applies the cash where the amounts line up. Short-pays, disputed deductions and write-offs are left for a person to decide.

Pick the job that costs you the most hours, bring a handful of real documents, and leave the session with a plain answer on whether an agent can do it.
